Welcome to registration information for Montreat’s Summer 2024 Clubs & Childcare program. Much of the information you need is in the registration form.

There are 9 weeks of Clubs & Childcare this summer. Sessions begin on Monday, June 3 and continue until the last day of Clubs & Childcare on August 2, 2024. Pre-registration for ANY one of these weeks is STRONGLY encouraged.

As a result of difficulties finding staff to create the best quality experience for your children and grandchildren, Montreat has made the decision not to offer childcare for those under two years old. The two’s and three’s class will still be offered for children who are at least two by June 2, 2024, and we look forward to welcoming your children to the Clubs program once they turn two! Locating outstanding staff for our child care center is a challenge we are working hard to overcome. If you know people who are skilled in child care and might be interested in working this summer, please share our summer staff application!

Clubs Program

The Clubs program is a recreation and fellowship experience for the children of conferees, local residents, vacationers, and visitors. It groups children and youth according to age and school level. College-age counselors supervise each group. They are trained to help young people feel comfortable as they create new interpersonal relationships and develop social and outdoor living skills. The program also makes effective use of Montreat’s recreational facilities set in beautiful outdoor surroundings. Events are planned with each group’s age and interests in mind.

Activities

A typical week in Clubs (4-year-olds to senior highs) consists of swimming, paddle-boating, music, water games, devotions, arts and crafts, and wilderness education. Preschool-aged groups (“PreClubs”) will additionally have playground time, snack time, dress up games, as well as a designated nap/rest time. School-aged groups will play lots of active outdoor games (such as scavenger hunts, tag, and other high-energy creative games) and indoor games (such as pool and table tennis), as well as participate in music, dancing, tennis (bring non-marking tennis shoes), hikes, and rock-hopping (bring old closed-toe shoes). YOUR CHILD WILL GET MESSY! Please make sure they dress appropriately!

Daytime Child Care

Daytime Child Care Daytime child care for younger children is also available. The service is primarily for children of registered conferees and operates on the same schedule as the Clubs program. A typical day consists of centers, group time, devotions, snack, and outside play in the morning, plus nap time, snack, and outside play in the afternoon.

Evening Child Care

Evening Childcare Evening child care is available to children of conferees who are at least one year old through completed second grade. Registration for daytime child care does NOT automatically enroll you in evening care. There is an additional cost for this program. Conferees must register their children for the entire conference week of evening childcare. Please make sure to select “evening care” when you pre-register your child for daytime Clubs or child care. You may also register for evening care On Sundays at on-site registration when you arrive in Montreat (see the schedule block for on-site registration hours and locations).

WE WILL NOT MOVE A CHILD INTO AN OLDER GROUP. However, a child may be moved into the next younger grade at the parent’s request to accommodate special needs or to be with a relative or friend.

3-Day Campout Dates for 2024

*More details on Juniors 5th and 6th's 3-Day Campouts will be available in May. 

To attend a 3-Day Campout, your child should be registered for the entire week of Clubs in advance. We reserve the right to limit the number of participants if safety requires it. Download a Sample 3-Day Personal Gear List. More detailed information will be provided at the MANDATORY Parent Meeting on the Monday prior to the campout.

NEW UPDATES: We are pleased to inform you that there is now a convenient option to pay the $35 3-Day Campout fee online or over the phone. We also will accept cash at the Parent Meeting. Additionally, we have introduced a new requirement for parents to acknowledge 3-Day Campout dates and tentatively choose whether their child will attend. This is crucial for our staffing planning to ensure a smooth experience for all participants. We appreciate your cooperation in providing this information promptly.

In instances where a club group is scheduled for a campout, the next youngest Clubs group is always prepared to accommodate those who are unable or choose not to participate for any reason.

Fourth of July Parade

We will celebrate the Fourth of July on Thursday, July 4. In order to be a part of the parade with a Clubs group, children must be registered for the full week of Pre-Clubs or Clubs' Session #5 (July 1–5). There is no Childcare on July 4.

More Clubs and Childcare information will be sent to you at the beginning of the summer and more details on the 3-Day Campouts will be sent 7-10 days before your child's 3-Day Campout.

If you have not used our online system before, you will need to create an account using your email address. If you have registered online in the past, please use the same email address and password. You must have a valid credit card to complete your registration.

For all ages, we will be asking about medical information and immunizations. There is no separate form, but you will need to input the information before you can register. If you entered information in the past 2 summers, most will pre-fill for you. Please double check and change information as needed.

Early pre-registration is strongly advised and affords your best chance for admission to our program. All groups have limited capacities and fill up quickly. You may pre-register for full sessions only. If you wish to register on a daily basis, you must register on-site.

Pre-registration is required for all conferees. SPACE IS LIMITED. You must register at least 30 days in advance to guarantee enrollment in the program. Enrollment is not guaranteed for walk-in registrations.

Online registration is not available after 12:00 noon on Thursdays for the upcoming Clubs session. You must wait and register on-site either Sunday afternoon from 3:00-5:00 pm or Monday morning from 8:15-9:15 am in the lobby of Anderson Auditorium. There will be no Clubs registration the morning of July 4th.

Cancellation Policy: If you need to cancel a registration please let us know as soon as possible. If you cancel on or after May 1, we will refund your charges minus a $45 per week administration fee. If you cancel less than 10 days prior to your session, no refund will be given. Please be aware that failing to cancel a session of Child Care, Pre-Clubs or Kindies may prevent another child from being able to register. No refunds will be given for days your child was absent, and we cannot allow children to make up days not used by attending during times when he/she is not registered.

Montreat Conference Center does not provide any Clubs/Child Care between noon and 2:00 PM. However, extended hours may be provided to conference participants (see conference schedule for details).

FAQ

I’ve never registered online. How do I create an account?

Click the “Create a New Account” button on the online login page. You will need to choose a username (we recommend using your email address), a password, and a security question. Make the security question something simple that you will remember easily.

If I registered online last year, will my information still be in the system?

Most of it, yes. Use your username (probably your email address) and your password to login to the system. Some things like medical information and signatures will need to be updated but most things should appear automatically.

What if I’ve forgotten my username or password?

On the online login page, click the “Forgot your username or password” link and you should be able to obtain a temporary password and your username using your email address. When you login with the temporary password, you will answer your security question and choose a new password.

Can Montreat just tell me my password or the answer to my security question?

For security reasons, no, that information is not available to us. We can only reset your account.

What information do I need to register a child?
  • Child’s Information: name, date of birth, gender, grade completed in June 2024, allergies and medical & vaccine information.
  • Parent Information: name, address, phones, emails
  • Other: Emergency contacts and authorized pick-up names.
  • You will also need a credit card to complete the reservation.
  • We require one week’s payment per child as a deposit.
Why is it important that I register early?

Space is at a premium, especially during the weeks before and after July 4th. If you know your child or grandchild will want to walk in the July 4th parade, it is important to reserve a spot now for the July 1–5 week.

Can I register for one week now and add more later?

It’s most important to register for the busiest weeks now. Later, when your plans are more concrete, you should be able to add spots in the less busy times. The safest policy is to register soon for all weeks in which you want a space.

Annually I treat my grands to Clubs. Can I forward this link to my adult children to register them?

Yes, please send this link to the parents of the children/youth attending. The family can decide who pays for Clubs. Please note: registration is not complete without payment! Whoever registers a child will need to have all of the information about that child (including medical and vaccine info) to complete the registration.

With the 4th Of July on a Thursday, what do I need to know about Clubs/CC that is “different”?

The Montreat community will celebrate Independence Day on Thursday, July 4. Only children registered for the July 1–5 session will participate in the parade. To ensure safety, Pre-Clubs children may participate in the parade only when accompanied by a parent or guardian.

Please note: there is no Childcare on the 4th of July. Please register your children early to ensure they have a space. We will not offer on-site registration on July 4.

If my children/youth are registered for July 1-5, do they HAVE to be in the parade?

No! You know your children. You may register your child/youth for the week of the 4th, but skip Thursday the 4th. We know from personal experience that not all children want to do the parade. It is fine for them to skip that day and attend the rest of the week.

I filled out the medical information and vaccine dates, etc. Do I need it to do it again?

For all ages, we ask that medical information and vaccinations are updated every year. If you entered this information last year, please give us your updates and new vaccination information.

We are planning to come for 2 weeks, but what if we only come for one?...do we get our money back?
